Description:To be fully engaged in providing Quality/No Harm, Customer Service and Stewardship by executing on these commitments by executing & delivering projects as approved by the organization and defined by executive sponsors/stakeholders. These projects must be delivered end-to-end; this includes building and maintaining relationships with functional organizations (e.g. ? legal, training, communication/marketing, contracts & supply chain), building and maintaining schedule, budget, resource planning, risk and issue management. This position must have the skills to navigate change and at times, levels of ambiguity.?Primary Accountabilities? Use industry proven processes to create a detailed plan for the work, including key items such as detailed requirements development, operational excellence process mapping, training plans, communication plans and other predefined components to ensure success.? Responsible for full resource planning, loading and allocation within the project and assembling the project staff; for their technical or functional development, performance, and/or termination during the project or projects.? Manage the project budget through on-time processing of purchase orders and invoice. This includes close reconciliation of paid and committed, maintaining these reconciliations within Health First?s project management software.? Build relationships with executive sponsors, project sponsors and key executive stakeholders. Provide proactive and regular communication with each on project status as well as any risks, issues and need for mitigation. Continually look for ways to improve client-centric service project execution & delivery.? Facilitate cross-functional teams to work the project to solve problems and implement changes.? Follow the Health First project management methodology (waterfall, agile).? Present oral and written reports defining plans, problems and resolutions to appropriate levels of mid-level and executive management? Understand and contribute to achieving annual Quality/No Harm organizational goals.? Take work direction from Program Manager on assigned projects.? Participate in management-approved educational programs and activities. These include new developments in healthcare, information technology, construction, process improvement, project management and other subject matter and best practices.? Plan, develop, implement, and coordinate projects as assigned, following established project management best practices and principles for initiating, planning, executing, controlling and closing projects with appropriate tools and techniques. This includes planning and organizing work activities for assigned project team(s).? Prioritize and plan work activities using time and resources efficiently.? Design, establish, and maintain staffing for project work.? Understand and follow Health First Change Management processes; including Information Technology, Construction and other functional organizational areas.? Define and capture clear Scope of Work (SOW) and Charter using pre-defined tools/documents.? Set goals and objectives for the project team and work in an organized manner. Delegate work activities within assigned project teams as appropriate.? Ensure that team members complete tasks on time. When needed, proactively escalate issues and risks along with mitigation recommendations to Executive Sponsor, Projects Sponsor, Program Manager and Director.? Understand and contribute to achieving annual Stewardship organizational goals.? Responsible for planning capital and operational budgets for assigned projects, monitor and track budgets throughout the project lifecycle, adjust expenditures as necessary, and work within approved budget. Keep track of assigned capital budget codes (CIP codes). Maintain contracts that are tied to the project work.? Negotiate needed changes with suppliers and review vendor contracts for accuracy and completeness when invoiced.? Manage the project budget through on-time processing of purchase orders and invoice. This includes close reconciliation of paid and committed and maintaining these reconciliations within Health First?s project management software.? Understand and contribute to achieving annual Customer Experience organizational goals.? Provide a high level of client-centric customer service and support within the established scope of assigned projects.? Oversee the close out of projects, including transition to operations and support, ensure training and hand-off process is documented and complete.? Document user acceptance by completing project closure or acceptance documents, documenting lessons learned and final project reports.? Exhibit clear, sound and accurate judgment in making decisions.? Display willingness to make decisions in a timely manner, include appropriate individuals in decision-making process, and be able to explain reasoning for supported decisions of the team. Inform Program Manager and Director of decisions and any recommended changes to project scope, charter, etc.Qualification:? Bachelor Degree in healthcare, business, construction management or the equivalent upon review and approval of Health First recruiting and hiring manager. Years of proven experience may be substituted for degree.? Minimum of three + years of proven project management experience.? Certified Project Manager (PMI or IPMA), preferred.? Proven leadership and management skills, including budgets and contract negotiations.? Strong ability to navigate change within a matrix environment, including various degrees of organizational ambiguity.? Excellent organizational skills.? Capable of pursuing multiple concurrent tasks in an autonomous work environment.? Strong skills in documenting policy, procedures, needs assessment and similar documents? Strong verbal communications skills with the ability to clearly enunciate and convey information.? Ability to influence individuals and teams (that are not "direct reports" ) to follow a certain course of action to maintain project goals and objectives.? Strong interpersonal and communication skills and the ability to work effectively with a wide-range of constituencies
